Choosing the Right Wedding Venue: A Planner’s Insider Tips.

If you’re newly engaged and wondering how to choose a wedding venue, you’re not alone. It’s one of the first—and biggest—decisions in your planning journey, and getting it right sets the tone for everything that follows. It sets the tone, determines your layout options, and often dictates your food, timing, and even décor. Here’s what you need to know before you book—and why hiring a planner early can make this step way easier.

1. Does Your Guest Count Match the Venue Size? Estimate Your Guest Count First (Even If It’s Rough)

Before you fall in love with a space, have a general idea of how many people you’re inviting. It doesn’t have to be exact, but a ballpark number is crucial. A common rule of thumb is that 10–20% of guests may not attend, but this depends on several factors, like whether it’s a destination wedding, how close your guests live, or if many guests have young children or scheduling constraints.

Why does this matter? You’ll want to avoid booking a space that’s way too large—it can make your event feel sparse and impersonal. For example, 150 guests in a 500-capacity hall will feel empty unless the space can be creatively divided.

2. Make Sure the Venue Fits Your Guest Count (Comfortably!)

Once you know your estimated guest count, look for venues that fit just right—not too small, not too massive. Think about comfort, movement, and flow: will there be enough space for dining, dancing, and mingling without feeling too spread out?

If you’re unsure how to visualize the layout, this is where a planner can help you understand how floor plans translate in real life.

3. Food Matters—Check the Venue’s Catering Policies

If food is a priority for you, especially if you want something culturally specific or traditional, check whether the venue allows external catering. Many venues only work with in-house or preferred caterers. If they do allow outside catering, ask if there’s a per-person charge or flat fee.

If you’re leaning toward using their in-house catering, ask if food tastings are available before you book. It’s not uncommon for couples to feel locked in with food they didn’t get to try in advance.

4. Venue Rules for Alcohol: What’s Allowed and What Costs Extra?

Alcohol policies vary widely. Ask:

  • What kind of alcohol do they offer (premium vs. basic)?
  • Can you bring your own?
  • If yes, is there a corkage fee?

5. Timing & Setup: Watch Out for Access Restrictions

Venues often list a start time like 3 PM—but your vendors may need hours of setup beforehand. If your décor is elaborate or includes things like tenting, hanging installations, or multi-vendor coordination, setup may take 4–6 hours or more.

Always check what time vendors can start loading in and when the venue becomes available. Limited access can create major scheduling headaches later.

6. Noise Restrictions & Curfews

Some venues—especially those near residential areas—enforce noise restrictions, often cutting music off at 10 PM. If you’re dreaming of a long night of dancing, this could be a dealbreaker. Be sure to ask about curfews or noise policies before you sign anything.
